• Account and professional details: name, email, phone, profile image, specialty, institution, role, and verification details.
• Resource activity: searches, views, saves, downloads, submissions, reviews, and indexing or moderation records.
• Ask Osler activity: questions, conversation history, retrieved sources, feedback, safety signals, and usage limits. Do not submit identifiable patient data.
• Osler Learn activity: courses, enrolments and access grants; module and step progress, completion and saved or reviewed learning items; answers, practice attempts and recall self-ratings; revision history and scheduled reviews; practice and mock sessions, including session state and progress used to resume learning; content reports, course discussion posts and participation; and derived learning signals used to organise revision. In-session flags and unsaved answer drafts may be held locally in your browser rather than saved to your account.
• Payments and balances: transaction references, amounts, status, points and credit ledger entries, subscription status, and limited payout or mobile-money details where needed.
• Technical information: IP address, device and browser details, cookies, logs, security events, and performance measurements.

Ask Osler may send your question and selected source context to an AI provider to generate a response. We may retain prompts, outputs, citations, and safety logs to operate, secure, and improve the service.

When you submit a resource, we extract text from the document to build a search index, generate a cover image, and draft catalog metadata (title, description, author, tags). AI providers may process the representative excerpts from the document to suggest this metadata. Suggestions for public submissions are advisory; trusted imports may use them to fill catalog fields before publication. Authorised contributors and staff can review and correct metadata.

For scanned documents and images, document-processing providers may receive document content to recognise and extract text for indexing and search. Depending on the processing route, these may include OpenAI, Google services or Mistral.

Osler Learn uses stored learning activity and rule-based revision scheduling to organise study. Recording progress, marking reviewed questions and selecting what to revise next are separate from the AI processing described above; these learning activities are not all AI processing.

Do not enter patient names, contact details, record numbers, images, or other information that could identify a patient. If you submit such information, you are responsible for having a lawful basis and the necessary authority.

We share only what is reasonably needed with:

• hosting, database, storage, email, SMS, analytics, and security providers;
• AI, embedding, search, and clinical-reference providers used by Ask Osler;
• payment processors, mobile-network participants, and payout providers;
• authorised reviewers or administrators who manage submitted resources, course content, learning reports, access and accounts;
• authorities, advisers, or counterparties where required by law or necessary to protect rights and safety.

Public resource contributions may display the contributor name and professional profile information you chose to publish. Private payment, licence, and account-security details are not intended for public display.

Course discussion posts are visible to the participants and authorised staff who can access that discussion. Following a link to an external community, such as an Osler Rounds WhatsApp study group, takes you to a third-party service governed by that provider's terms and privacy practices. Information you share there is handled by that service and may be visible to other group members.

We retain information for as long as needed to provide the service, maintain legal and financial records, resolve disputes, prevent fraud, and enforce agreements. Payment, consent, moderation, and security records may be retained longer than ordinary account content.

We use access controls, private storage, logging, encryption in transit, and operational safeguards. No online service can guarantee absolute security; tell us promptly if you suspect account misuse.

Essential cookies keep sign-in, consent, preferences, and security controls working. Optional analytics may be used when enabled. Blocking essential storage may prevent account features from working.

We send transactional messages about accounts, security, resources, subscriptions, course access, and payments. You may opt out of optional marketing in Account settings or through the message itself.

Subject to applicable law, you may ask to access, correct, export, restrict, object to, or delete personal information. We may need to verify your identity and may retain records required for payments, security, legal compliance, or the rights of others.
